Student Services Secretary - St. Mary’s DVCI (Temporary, Full-Time)

There is a temporary full-time (1.0) Secondary Student Services Secretary position available:

Essential Functions and Responsibilities which may vary depending on school office staffing levels and school practices and procedures:

1. Ensure accurate record keeping and maintenance of student records - both the Ontario Student Record (OSR) and electronic records, ensuring proper procedures are followed in accordance with the applicable Board’s Standard Operating Procedures, as follows:
 
  • File transcripts, report cards, and other documents in accordance with the Standard Operating Procedures.
  • Acquire and forward Ontario Student Records.
  • Produce complete and accurate transcripts for past and current students, forward electronic marks to universities and colleges as required.
  • May include maintaining student admissions, transfers, retirements, etc.
  • May include adding and dropping courses from student timetables as required and entering student choices.
  • Aspen key contact for student services purposes.
  • Tracking of community service and completion of literacy requirements.

2.     May assist in mark entry and generation of student report cards.

3.     Provide reception duties in the student services office, including fielding student requests and telephone enquiries, as well as scheduling and confirming appointments.

4.     Maintain current post-secondary and career promotional materials.

5.     Provide support and perform related duties for administration/student services team
-assist with various items as required such as maintenance of course calendar documents, school events (parents’ night, commencement, awards night, etc.), data entry, filing, copying, faxing, processing correspondence.

6.    May assist Administration/Head Secretary with completion of Ministry reports, ONSIS and month-end enrolment report (MEER) and,          
 
7.    Other related duties as assigned.


Job Specifications and Requirements:

1.     One year college diploma in office administration plus up to six months related experience; or a combination of experience, education and training that is considered equivalent;

2.     Proven computer literacy skills, specifically in MS Office, Maplewood;

3.     Proficient and accurate keyboarding skills in excess of 80 wpm;
 
4.     Excellent organizational skills including a thorough knowledge of good office practices and procedures;

5.     The capacity to work independently, problem-solve and multi-task in a busy environment and,

6.     Proven professional, interpersonal, oral and written communication skills, and a high
degree of confidentiality

Rate of Pay: Level 3 of ESSP Collective Agreement   
Hours of Work: 35 Hours per week, 10 months per year
Pension Plan: Defined pension plan through the Ontario Municipal Employees Retirement System (OMERS)
Health and Dental Benefits: Extended and Supplementary Health, Paramedical Services, Dental, including Orthodontics, Out of Province/Country and Health Care Spending Account

End Date: June 6, 2025
